Payment Terms:
Class and KB membership fees are an annual set payment which has been divided into 12 regular monthly payments. Fees are subject to increases and notice will be given at least 1 month in advance of any increase. All fees are due on the 1st of each month, however, direct debit payments can be adjusted to be taken on any date from the 28th up to the 14th of the month. For example, if fees are due the 1st January, you can have your direct debit set for any date from the 28th December through to the 14th January. This must be requested via email when completing the registration form.
When paying by direct debit, you receive a discount on your annual subscription which equates to approximately one months class fees. The monthly price you pay comprises of not only the annual unlimited class fees but also includes the annual insurance and your child’s annual KB membership (which covers all gradings and other membership costs including access to online content provided by KB).
Your KB membership and insurance fees are set by KB and are not refunded in any circumstance as these are to ensure your child trains in a safe environment and they are not held back on any potential gradings. Any change to the KB membership costs will be given in a one month advance notice and direct debits will automatically be adjusted. A break in the KB membership fee results in a £40 charge due, this includes not paying your monthly fees by the 20th of the month or cancelling your direct debit without notice as they are included in your monthly payment.
Any failed direct debits are subject to an automatic retry, any subsequent failures will be subjected to a £5 charge. This charge will be taken within 5 working days via direct debit and the outstanding fees will then be payable in cash or via bank transfer BEFORE THE NEXT CLASS.
If fees are missed, the student is not covered on the insurance to attend and so will be refused entry to class.
We do not run classes on any Bank Holiday (Good Friday, Easter Monday, both May Bank Holidays and the late August Bank Holiday) and any regular annual events that take place at any of our locations where it means our classes are unable to run are also factored into the fees. There are also three regular holiday periods, which are included in your class fees, 1 week in the Easter holidays, 2 weeks in the Summer holidays and 3 weeks at Christmas. This means that direct debits do not change throughout the year. Notice will be given in advance to confirm the dates these will be each year.
Any unscheduled or out of the ordinary cancellations which come about from either a venue or Powys Dragons cancelling the session with advance notice (minimum 4 weeks), will be refunded either via a reduction of your monthly class fees (not the KB membership or insurance) or a voucher to the same value for use in the online store. You must email your preference upon receiving notification of the cancellation or no refund will be issued. The refund or voucher will only be issued for the month of the cancellation, not before.
Any cancellations due to a venue being unsuitable or in a condition unusable with no notice are not refunded as all costs are still chargeable.
All our classes run an open door policy, which means you can attend any other session at any other location at any time of the year (it does NOT have to be in the same week) if you are unable to make a regular class. This option also applies to last minute cancellations and planned cancellations (providing a refund has not been requested).
KB online training videos are always available as an alternative to a missed class and included in your child’s KB membership part of the monthly fees and online Zoom classes may be provided as a substitute to an in-person class to ensure students still receive training in the event of a cancellation.
If you are aware that your child will be away for an extended period (loner than 4 weeks) in one go for example in the summer holidays, you may request a break in your class fees (not KB membership) with at least 1 months written notice and your direct debit remaining active. This will be manually adjusted but Powys Dragons scheduled holiday weeks will still be chargeable . Powys Dragons do not refund fees if you are away on holiday as classes are still running with all costs still incurred. Our class fees are for unlimited sessions a week, meaning that you can take advantage of as many sessions a week as you wish for no extra cost.
If you wish to cancel your child’s place, it is a 1 month notice in writing via email to [email protected] to do this. Your child can still attend sessions during the notice period. If the notice period includes part of a month, fees will still be due at a reduced rate and KB membership still charged.
Any student who signs up on a Little Dragons package (under 6 years old) will automatically be moved to the higher priced Big Dragons package from the 1st of the month following their 6th birthday.
Payments are to be made via direct debit only. Any payments not paid by direct debit do not benefit from the direct debit discount and are charged at a higher rate.
GoCardless is the direct debit merchant we use for payments. You will receive confirmations regarding payments and changes from them.
